MEETING MINUTES
   

In Attendance- Julie Liggins, Stacey Munsell, Nicolette Gonzales, Margie Lusk, Jen Stark, Sallee Lines, and Sarah Taft

   

Due to other commitments Margie Lusk has stepped down from the board.

Uniforms:

All were in favor of the “zig zag” uniform for JV.

Varsity uniforms used in past years will be saved to use at a later date.

A 50% deposit will be made for varsity uniforms. Balance will be paid at the end of July when uniforms are received.

JV uniform fitting – June 9th 6:00 – 8:00pm at the Beaverton Library

Varsity uniform fitting – June 10th 7:00 – 8:30pm location to be announced

Fundraising:

Sallee and Sarah proposed the idea of “flocking”.

Sarah will print up flyers and order forms to pass out at uniform fitting days as well as post on the web site.

Miscellaneous:

UCA needs a credit card to hold for a deposit.

Sarah presented minutes from last months meeting for approval.

Treasures Report –
Jen will email out financial reports.
Letters will go out his week to those with an outstanding balance.
Jen will call THPRD to make sure they have mailed a check.
K-2 clinic brought in $475.00.

Fundraising –
Car wash alternatives to be presented and voted on at next meeting:
Reusable grocery bags – Stacey
Skate World – Jim
Kobo’s Coffee – Sarah and Sallee
Krispy Kreme – Sallee
Noodles & Co. – Margie will set u a date for August.

Other ideas included selling small spirit items, (foam fingers, small footballs, noise makers) or cheer kits (sun block, rubber band, lip balm)

Sallee suggested doing another K-2 clinic during the cheer season and allowing the girls to cheer at a varsity game. Ideas included getting them T-shirts to wear during the game.

Varsity Try Outs –
Stacey will bring numbers and safety pins for girls to wear.
Judges and people to help teach the dance are needed.
Due to the high number of girls trying out, we will split them up and use the covered area.
Stacey, Margie, Jen, Nicolette, and possibly Julie will meet at 6:00pm on Wednesday, 5/21 to go over the agenda for try-outs.

Miscellaneous –
Jim presented first aid kits. First aid kits will include the following:
Band-aids, Neosporin, ice packs, antiseptic wipes, gauze, non-latex gloves, scissors, ace bandages, maxi pads, and wet ones.

Votes Approved By Email-

4/7/08-
Additional $10.00 insurance fee was approved.
Additional $50.00 fee for all girls who make varsity. (This additional fee will cover shoes based on the budget.)
All constitution changes were approved.
Varsity uniform presented by Nicolette has been approved.

4/12/08-
New logo was approved
Cheer logo was approved - upper left chest for girls.
Donna Monger to continue doing our extra apparel.
GTM will do the logo on the adult jersey with one large logo to be centered on the shirt.

4/13/08-
BYC to do a pre-game show at a blazer game has been approved.

Treasurers Report-
Jen presented the financial report and overview of all funds.
City of Beaverton will not allow us to hold our car wash at the reserved location.
Board will continue to look for other locations as well as other fundraising ideas.

K-2 Clinic-
Rehearsal will be held at 4:00pm Friday, May 9th at The Beaverton Community Center.
They will be learning a dance to the song "double dutch bus".

Uniforms-

Jersey shirts-
Board members to wear black shirts with white lettering and "Staff" on the back. Coaches to wear orange shirts with black lettering with "Coach" on the back.
Shirts will be screen-printed.
Lettering on all new uniforms will be triple color lettering. "Beavers" to be straight across the top and curved on the bottom. (All-star lettering)


Miscellaneous-
Julie made the suggestion to offer the girls a chance to extend the cheerleading season. Julie will contact the head coach of metro boys basketball and see if they would be interested.
The suggestion was made that all interested youth coaches meet with Julie and Stacey for an "interview".
BFA would like a few of our girls to attend one of their parent meetings and teach a few cheers. BYC board would also attend. Julie will type up a letter to all football parents.

Varsity Uniforms:
Nicolette presented the Dehen’s uniform with revised colors.
To accommodate a board member who was unable to be at this meeting a vote will be made via email.

Miscellaneous:
Nicolette confirmed UCA stunt clinic dates. Nicolette will create a flyer to be handed out at registration.

The suggestion was made to have varsity girls enter one competition each year.

The decision was made to place 6th grade girls according to their skill level.

Sarah will price out banners for next year.

Margie will meet with girls that will be helping at the K-2 clinic to rehearse dace and cheers that will be taught. She will reserve an evening in May at the community center to hold rehearsal.

The website is in need of being updated. Margie will make sure Jen has all flyers for restaurant nights. Sarah will get all past meeting minutes to Jen. Clinics need to be added.
The suggestion was made to have all fonts be the same on the front page and throughout the site.

Treasurer’s report:
Stacey presented a detailed estimated budget for board review before approving uniform costs.

Constitution:
Stacey made the motion to make changes to the current constitution and participation agreement. All were in favor after making some minor changes to cell phone use, and make-up. Julie second the motion and all were in favor.

Uniforms:
Nicolette proposed a new uniform for Varsity girls. Cost for the proposed uniform is $130.95 per uniform. This cost does not include midriffs.
There was concern with the cost of this uniform.
Margie will check with Dehen’s for fitting/sizing and color options with the “other” uniform Nicolette had chosen.

Old uniforms will be sold at registration as well as the K-2 clinic. Jen will begin selling old uniforms on craigslist for $25.00. Julie will send out a note by email letting families know these can be purchased.

Jen presented Jersey coaches/board member shirts. All were in favor.

Cheer gear –
3/4 and 5/6 girls will wear white fitted tees.
JV and V girls will wear orange fitted shirts.

JV and V:
The decision was made to have ALL 7th and 8th grade girls attend the varsity clinic in order to be placed on JV. They will not be required to try-out unless they would like to be considered for varsity.

The suggestion was made that varsity girls will pay an additional $50.00 once making the squad.

Miscellaneous:
Julie assigned people to certain jobs during registration.
Extra volunteers will be needed.
Margie will make signs for registration and bring black tablecloths for the tables.

Sallee will contact Ronna Newsom and see if any BHS varsity girls would like to be youth coaches. Girls that are interested can contact Julie.

Nicolette will confirm dates for UCA clinic.

3/3/08 – finalizing dates for varsity try-outs and last registration day.
Varsity try-out CLINIC only will be held at garden home rec center on may 28th and 29th, 6:00-8:00pm both nights.
Try-outs will be held at Vose Elementary from 11:00am-1:00pm
Final Registration day will be held at Conestoga rec center May 3rd from 1:00-4:00pm
We will not hold a late registration.

3/7/08 – Restaurant dates were finalized.
April 25th – Pizza Scmizza/Raleigh Hills all day 11:00-10:00pm, BYC will receive 50% of net profit.
May 21st – Papa’s Pizza all day 11:00-midnight, BYC will receive 50% of GROSS profit.
June 17th-30th – Sweet Tomatoes, BYC will receive 15% after tax.
July 25th, 26th, & 27th 10:30-10:00pm each day, BYC will receive 15%.

3/7/08 – Estimate for registration lawn signs was approved. Total cost was $438.00, approved by Julie and Stacey.

3/10/07 – All were in favor of a $68.00 usage fee for the Garden Home facility.

3/11/08 – Julie and Stacey gave their approval for Jen to order two line signature checks. The cost will be $30.00 for 150 checks,

3/16/08 – Julie and Stacey gave their approval for Jen to write a check to cover the website bill of $106.93. BeavertonYouthCheer.com domain and website will be paid for one year.

Treasurers Report –
$60.00 was miscellaneously deposited in the BYC account. Jen will request a copy of the check.

Jen and Stacey presented the board with a projected budget.
$4000.00 to carry over next year.
Total estimated expenses $25,331.00
Revenue less expenses $1,779.00

Fundraisers were finalized and voted on. All were in favor of selling Entertainment books, and holding the car wash. If needed, we will sell cookie dough towards the end of the season.
Last year the car wash brought in $1800.00 and cookie dough $3,600.00.

Bylaws –
Stacey presented bylaw changes and additions. All were in favor of these changes. Sarah will type up the amendments for notarization. Bylaws will then be submitted to the state with new board members.

Uniforms –
All were in favor of the cost and style of new uniforms.

Total uniform price including cheer gear, poms, and bag is $167.00.

Extra cheer gear is $15.00.

Credit application has been submitted to GTM. We are still waiting on an approval.

Three styles of poms were presented and voted on. 3/4, 5/6, and JV will be using a black metallic pom.

Varsity Uniforms –
Nicolette presented two uniforms to be voted on at the next meeting.

Girls who make varsity may have additional costs.

Varsity girls will take one Carr Chevrolet date, June 22nd.

The suggestion was made to hold a “varsity” restaurant night at Papa’s Pizza.

Registration –
Julie will call schools and ask to put a short blurb in newsletters/flyers.

240 copies of the flyer will be made and split up – 20 per school to keep at the front of each school.

Signs were split up between the board. All signs will be marked and their location will be logged.

K-2 clinic –
Will be held May 10th 9:00-11:00am at Fir Grove Elementary.

Insurance is $10.00 for each child.

All were in favor of a $25.00 charge for each child. This will include a water bottle and set of poms.

Stunt Clinic –
Nicolette presented a UCA youth cheer clinic. They will come to our location and provide their own liability coverage. The clinic will provide private coaching, teach cheers, stunts, safety while stunting, dances, and a 1/20 staff to student ratio. Each child will receive a ribbon, t-shirt, and sticker. The cost is $29.00 for a one day clinic 9:00am-3:00pm.
All were in favor of offering this clinic.

Julie will resubmit building use permits for Fir Grove. 3/4, 5/6 clinic will be held on July 26th and JV, V clinic will be held on July 27th.

Nicolette will check and set dates, get flyers for registration, and find out the cost to have our youth coaches attend.

First Aid Kits –
Jim will put together all first aid kits including one large kit to be kept at the check-in table.

Next Meeting –
Sunday, March 30th at Ava Roasteria in Beaverton - 6:00pm.
